CONDITIONS OF USE

This system provides full access to our central reservation platform. You may use command-line entries similar to any CRS (Computer Reservation System). All availability, booking, and pricing transactions are processed in real-time and directly affect airlines, hotels, car rental companies, cruise lines, and live inventory.

Compliance with ARC regulations and industry-wide ethical standards is expected and appreciated. All reservations made on this site must be ticketed by Book My Travelin – Run Tours.

Reservations that are not ticketed by the specified time limit will be automatically canceled. Our system is monitored hourly, and we reserve the right to cancel any agent’s access or reservations without prior notice or liability to the agent or their clients.

You also have access to our private fare database—one of the most comprehensive in the United States. International consolidator fares are available for Europe, Africa, the Middle East, Russia, the Far East, Latin America, and other destinations worldwide. These fares are quoted as-is and do not include taxes, service fees, or additional charges outlined in the fare rules. All net fares are subject to applicable rules and restrictions.

All air bookings will automatically price according to published fares unless otherwise specified by the system. Our representatives will advise you through remarks in the PNR regarding applicable net fares, if available.

This agreement outlines the terms under which Book My Travelin agrees to provide services and accommodations for your escorted tour or independent travel.

RESERVATIONS AND PAYMENT

A deposit of $1,000 per person along with a signed agreement (electronic or handwritten) is required to secure your booking. The remaining balance is due 60 days prior to departure.

For bookings made within 30 days of departure, payment must be made by certified bank check or credit card. For bookings made within 21 days of departure, expedited document delivery fees will apply.

PRICES

All prices are subject to change until final payment is received. Increases may occur due to rising costs including, but not limited to, airfare, land or sea transportation, fuel surcharges, or currency fluctuations.

FINAL DOCUMENTS REVIEW

While Book My Travelin takes the utmost care to ensure that your itinerary and travel vouchers (collectively, "Final Documents") are accurate and complete, it is your responsibility to carefully review them upon receipt.

Failure to notify us promptly of any discrepancies may result in loss or cancellation of bookings, tickets, or services. In such cases, Book My Travelin will not be responsible, and refunds may not be possible.

UNUSED TOUR ELEMENTS

No refunds will be provided for unused tour components, whether due to personal choice, operational issues, weather conditions, or any other reason.

BAGGAGE

Each escorted or independent tour participant is limited to one large suitcase and one small carry-on due to limited storage space on motor coaches. Some airlines and ground transportation providers may charge additional fees for extra baggage, payable locally.

FEES FOR CANCELED SERVICES

If you cancel your complete land reservation, the following cancellation charges will apply:

HOTEL OVERBOOKINGS ON INDEPENDENT TRAVEL

In rare cases and through no fault of Book My Travelin, a reserved hotel may be overbooked upon arrival. In such situations, the hotel will provide similar or superior accommodations at no additional cost.

If the alternative accommodation is not accepted, Book My Travelin reserves the right to issue a full refund for the affected accommodation without rebooking.

REFUNDS & COMPLAINTS

We strive to ensure your travel experience runs smoothly and according to plan. However, unforeseen issues may arise that are beyond our control. We strongly encourage you to notify us immediately so we can address concerns on-site rather than after your return.

GUESTS NEEDING SPECIAL ASSISTANCE

We regret that we cannot provide personal assistance for walking, dining, boarding or disembarking vehicles, or other individual needs. Travelers requiring such assistance must travel with a qualified companion.

ESCORTED TOUR ITINERARY CHANGES

Book My Travelin reserves the right to modify tour itineraries or trip features at any time, with or without notice. We may substitute airlines, hotels, or tour features with comparable alternatives of similar quality. Book My Travelin shall not be liable for such changes.

ESCORTED TOUR CANCELLATIONS BY BOOK MY TRAVELIN

Occasionally, a tour departure may be canceled due to insufficient participation or operational reasons. In such cases, Book My Travelin’s sole responsibility is to provide a full refund of monies received. We are not liable for additional costs or cancellation fees related to airline tickets or other travel arrangements not made by Book My Travelin.

RESPONSIBILITY

Book My Travelin is not responsible for any negligent or willful acts or omissions of third parties not under its control.

Without limitation, Book My Travelin is not liable for any direct, indirect, incidental, or consequential damages, including injury, death, loss, delay, inconvenience, or irregularity caused by circumstances beyond its control. These may include transportation delays or failures, overbooking or downgraded accommodations, insolvency of service providers, government actions, illness, lack of medical care, weather conditions, strikes, acts of terrorism, force majeure events, war, quarantine, epidemics, criminal activity, or any other cause beyond its control.

BINDING ARBITRATION

Any dispute relating to these Terms and Conditions, promotional materials, or the trip itself shall be resolved exclusively through binding arbitration in accordance with the commercial rules of the American Arbitration Association in New York.

Proceedings shall be governed by the substantive laws of the State of New York. The arbitrator, and not any federal, state, or local court, shall have exclusive authority to resolve disputes regarding interpretation, enforceability, or validity of this agreement.

Payment of a deposit constitutes acceptance of these Terms and Conditions and the Arbitration Agreement.
